Manual - Press Relations Agent Index Presentation Dear Press Relations Agent, This manual will be helpful before, during and after LACIME 2004 – the First Latin America and Caribbean Incentive and Meetings Exhibition, organised by Reed Exhibitions Brazil in partnership with the Brazilian Association of Travel Agencies (ABAV Nacional). Press Room At LACIME 2004 journalists and press relations agents will have a special room with all the structure they need. Working hours are from 10 a.m. through 17 p.m. on June 23, and from 12 through 17 p.m. on June 24 and 25. The team of ProCultura will be in the Press Room, to assist Brazilian and foreign journalists and all media and press relations agents present. Press Relations and Invited Journalists badges PressClub: www.pressclub.com.br/lacime2004/ Click on Press Badges Final date: June 15 Note: after this date, registrations at the local event site only. Badges Press: for all registered journalists (free access to exhibition hall, conference cycle, Press Room and use of available equipment). Exhibitor: for Press Relations person (access to exhibition hall and Press Room) Notice: Each exhibitor is entitled to 1 (one) Press Relations badge. Delivery of badges: At the exhibition hall entrance, beginning on June 23 . Press Kits Press kits shall be delivered to the Press Room of LACIME 2004 on the first day of the event, preferably in the morning. To prevent excess of material accumulating in the room, press relations representatives are requested to deliver no more than 50 kits at a time. Suggested number of kits for 3 days: 150 press kits Notice board and Press Hot Site These will be daily updated with relevant information on day’s functions. Press relation representatives interested in using the Press Hot Site must follow the standard developed by ProCultura. Press conferences The Press Auditorium at the Press Room is the place where exhibitors will hold press conferences, under coordination of ProCultura. Available time slots for press conferences are: June 24 and 25: 12:30 - 1 p.m. 2 p.m. - 2:30p.m 3:30 p.m. – 4 p.m. Eight press conferences will be arranged in all, following
first-in contact order. Press conference appointments will only be made
upon confirmation of the Press Relation representative. No time slot reservations
are accepted. Other exhibitor functions, such as cocktails and press conferences
at stands, must be informed so that ProCultura may include these in the
agenda for journalists. To arrange a press conference, apply to: Press Briefings So that information may be delivered to all journalists, Press Relations representatives will fill out all the relevant exhibitors information in a specific form, the Press Briefing. The Press Briefing will then be automatically delivered to ProCultura and will remain on display at the Press Hot Site of LACIME 2004 for one year, in Portuguese, English and Spanish versions. (Note: copy translation will be responsibility of each Press Relations representative). Press Briefing forms will be the source to develop specific notes to vertical and electronic media. ProCultura Comunicação Empresarial Tel # 55 11 3082-7300 ProCultura is accredited at the PressClub System, a press relations web application, where information on LACIME 2004 and all participating exhibitors will be on display during 12 months. To be included in the PressClub data bank, exhibitors must provide a company profile with a high resolution picture (300 dpi x 16 cm) and send these to lacime@procultura.com.br. An accredited journalist must sign every material sent to the PressClub for publication. ProCultura will assist Main Standholders who do not have a Press Relations agent with the editing and dissemination of information provided in the Press Briefing form.
